The primary purpose of meeting room use is for library activities, including programs presented by library staff or other organizations affiliated with the Library.  When a meeting room is not being used for a Library activity, then the public may use it.  The Library staff is responsible for setting up or taking down chairs or tables for Library activities only.  Refreshments may be served as long as no food or drink leaves the meeting room area and clean up is performed by the group using the space.  The Library reserves the right to charge a cleaning fee and/or teardown fee if the meeting room (including its equipment) is not returned to its original condition.  Any damage to the room will result in the termination of the group’s meeting room privileges.  Meeting room activities shall not interfere with library operations.  Smoking and consumption of alcoholic beverages is prohibited.  Meeting room use, including clean up and teardown must end before the library’s closing time.  The Library is not liable for injuries to people or damage to property, individuals or organizations using the meeting rooms.  Fundraising events by non-library entities are prohibited.   


A. The New Port Richey Public Library has free meeting rooms available for group use by NON-PROFIT ORGANIZATIONS.  Programs held must: 

(a)    Be free of registration and admission charges. 

(b)    Be open to the public and held during normal library hours.

(c)     Not discriminate on the basis of race, creed, color, sex, political or religious affiliation.

B. The New Port Richey Public Library has meeting room space available for group use by FOR-PROFIT ORGANIZATIONS on a fee per hour basis ($50 per hour). Programs held must:

(a)    Be free of registration and admission charges.

(b)    Be open to the public and held during normal library hours.

(c)     Not discriminate on the basis of race, creed, color, sex, political or religious affiliation.

C.  Meeting rooms are available outside normal library hours subject to approval by the Library Director and on a fee per hour basis.  These requests must be made four (4) weeks in advance of the time requested.

D.  The Library charges $25.00 to both Profit and Non-Profit groups for the set-up and tear down of meeting rooms.

E.  The needs of the Library take precedence over other groups.  The Library reserves the right to cancel prior meeting room reservations with at least forty-eight (48) hours notice, or with less notice in case of emergency (hurricane closing, etc.)



1.  An adult sponsor/leader must be present when youth meet who are under the age of 16.

2.  The meeting room may only be used during the hours that the Library is open.  Meetings must adjourn by the Library closing time.

3.  No meeting shall be advertised identifying the Library as a location until confirmation from the Library has been received.  Publicity for all meetings is the responsibility of the group. Any printed publicity must include the statement: "This program is not sponsored by the New Port Richey Public Library." Any publicity material used within the Library for sponsored programs must be approved beforehand by the Library administration.

4.  The Library's name and address shall not be used as the official address of the scheduling organization.

5.  Prospective users must complete an application at least two weeks prior to the needed date.  Any requirements for seating or equipment must be requested at the time of the application.  Setup and dismantlement is the responsibility of the user.  No telephone reservations will be accepted.  Groups should have one contact person with the Library.

6.  The group is responsible for any use of audio-visual, electrical or kitchen equipment.  Cost of any damages must be borne by the group.

7.  The group warrants that it will secure all necessary performance licenses.  The Library is not responsible for any failure of the group to do so.

8.  Groups must adhere to the general Library policies with regard to parking, alcoholic beverages, soliciting, smoking, etc.  Persons attending meetings in the Library are subject to all Library rules and regulations.

9.  Accidents must be reported immediately to the Library staff.

10. Programs and exhibits may not disrupt the use of the Library by others.

11. The Library is not responsible for materials or equipment left in the building by users.  The Library administration is authorized to deny permission to use the meeting rooms to any group that is disorderly or that violates these regulations.  The New Port Richey Public Library, the City of New Port Richey and the New Port Richey Library Advisory Board neither endorses, approves or disapproves the viewpoints of groups holding meetings in the Library.

12. Library or Library-sponsored programs/functions have priority in all scheduling of the rooms.  All programs are open to the public, free of charge, and may not be conducted for solicitations or for commercial gain.  No fees, dues, or donations may be charged or solicited by the user at any program.  In the case of any educational classes, instructor and material costs may be recovered.

13. The meeting rooms are reserved on a "first come, first served" basis.  When the group itself cancels its reservation, notice must be given at least 48 hours prior to the reservation.  A no-show fee will be assessed any group that does not give forty-eight (48) hours cancellation notice (please call 727-853-1263).  After two consecutive no shows, the group will be denied booking privileges at the discretion of the Library Director.  No group may reserve the facility more than a year in advance or for more than one meeting monthly.

14.  Failure to follow or abuse of Library policies and procedures will result in the loss of meeting room privileges.

15.  Each group must register at the Circulation Desk when arriving and checkout when leaving the meeting rooms. 

16.  Remote controls, markers, etc. must be signed out at the Circulation Desk and returned before leaving the library.

17.  Each group must note attendance numbers on the sheet provided in each meeting room.
